Why this role exists:

The Office Manager and Assistant to the Partners role exists to free up the three partners time so they can focus on the tasks, projects and relationship building that only they can do. You will act as a right-hand, an integral part of the team who keeps “all the trains running on time”, thus allowing the partners and larger team the time and energy to achieve the firm’s mission and vision.

Job Description:

We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Candidate should be able to assist the partners of the firm and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail and e-mail. They will also make reservations, travel arrangements and generally be a helpful, positive presence in the workplace.

To be successful in this endeavor, candidates should be professional, polite and attentive while also detail-orientated and highly-accurate. They should always be prepared and responsive, willing to meet each challenge directly. The Office Manager and Assistant to the Partners must be comfortable with computers, basic technologies and CRMs, general office tasks, etc. They must excel in both verbal and written communication. Most importantly, the Office Manager and Assistant to the Partners should genuinely enjoy assisting others.

Outcomes + Responsibilities:

  • Communicate with clients verbally and in writing
  • Plan and maintain calendars for meetings, appointments and events
  • Screen ALL phone calls
  • Manage client information and meeting notes in CRM
  • Manage accounts payable
  • Coordinate and administer HR services including employee benefits
  • Manage suppliers and other external service providers
